SROC Committee Meeting 27.9.12

1. Minutes of last meeting accepted as accurate record
2. 2014 JL Need to firm up our ideas and allocate volunteers/ responsibility to named people
· N Champs on Blakeholme – Organisation and car parking in hand and awaiting reply, might need to check parts of map, ACTION DH permissions, especially Gummers How end
· L5Day ACTION DH get prelim permissions for Hampsfell, need to be ready if they choose it
· Name of club- AGM 2014 ready for Jan 2015
· Redesign club tops (regardless of name change) and other club clothing ACTION MR suppliers etc
· GC Way – discussion. KN happy to promote as individual or relay anytime challenge, log finishers, certificates etc. ACTION KN get rules from PK and promote. Also see if club members want an informal relay run/walk together in 2014
· Update Club History – QH has most electronic now. Sub group met and decided DC to do ‘What SROC have done for O over the past 50 years’
· Celebration Diner Sat 6 Dec – ACTION KQ and PK for booking and invites. Speaker was discussed with one idea being shorter remises from several older members
· 50 trees – RB found Woodland trust ask us to find a site ACTION JA/JB use their contact to ask Duchy. If not we could try Beacon Fell
· N v S JL has written but is struggling to get replies. ACTION keep trying, if S club says yes we need a date with event in area on Sunday to make travel worthwhile
· Club oversees tour- O Ringen is also 50 in 2014 ACTION MR/QH coordinate
· Retro event – JL not at all sure we will get permission for Whitewell, although tenant farmers seem happy ACTION JL ask Duchy
· ALL events in 2014 branded Jubilee
3. NWOA- in future likely coordinator of L5D will be paid post . Most discussion was on our use of ‘Hamish time’ and Club Mark. Agreed he would be asked to deliver another junior session ACTION JL. Maybe use Hamish to link to the local sports coordinators for School Sports. Many were very unhappy at the lack of progress with Club mark and the ‘impression’ that Hamish would not do this if asked. ACTION JL resolve this at CDC.
4. Events- see 5 year grid. 2012 autumn in hand and on line entries for urban event are open. Spook O date to be changed due to clashes, ideally wed 31 ACTION JL check AF has done no publicity yet. Need put message on our site when date confirmed. For 2013 ACTION RB/DH check Lanc Uni permissions, for 2015 wait until confirmed that Lanc Uni will be used. Also still need planners and organisers for some events. ACTION DH permissions for Nicky Nook, Farleton, Hutton Roof- 3 events in 2013. Most of 2014 already discussed but- should the NvS be an open event- wait until JL gets confirmation. 2015 TWT in spring suggested Torver High Common with parking in Quarry, QH suggested near easter as may get extra entries. Also Oct level C/CSC final suggest Helsington as good venue for all those travelling as well as for us in terms of parking. ACTION RB put our bid in and ask DH for a suitable level C area for autumn if we do not get chosen.
5. Mapping- no report in AFs absence but confirmation that all map updates should go to him. Tony also asked about OCAD lessons/course, agreed a need and could open it to other clubs ACTION JL ask MO if interested.
6. Secretary- should we waive any of our fee for newcomers in the way BO used to?
7. Treasurer – Agreed event prices should go through committee and need to consider the new levy. QH also asked that costings are done for all events or series rather than guess and add a bit.
8. Club Capt- no report
9. Juniors – ZH and HO both said there had been little interest in the PP relays this year. HO reported a very busy summer with juniors at various selected squad camps as well as on NWJS trip to Norway.
ACTION remove ZH from committee @ sroc and add HO
10. (a) Fell trophy request from Ian ACTION KN ask him to remind us of its origin and see if he has any ideas
(b) Ripley- costs now £ 45 for 90 mins and won’t be covered by current participation. Felt other places likely to be similar cost. May need to charge £3/£1
