SROC Committee Meeting    5.12.13

Present: Chris Roberts, Alex Finch, Quentin Harding, Gavin Smith, Dave Hargreaves, Dick Collins, Rowena Browne, Mark Edwards, Martyn Roome, Karen Nash.

Apologies: Tony Marlow, Helen Ockenden, Jane Anthony.

Minutes of last meeting- updated version was emailed earlier and now accepted as accurate record.

Matters Arising:

·         Updating organisers handbook etc Action KN ask JA re progress

·         Postcards thanking helpers Action ME still looking for cheaper supply. Liaise with QH re idea of printing in house with O map as background.

·         N Champs- message from M that all in hand and will email soon

·         SN/SROC match Action ME still waiting for coach quotes and reply from OD, suggested a village hall the NWJS use might work for social Action QH promote in newsletter/ MR via email news

·         Beacon Fell trees Action MR made contact and likely to be March, will now find out cost for 50 trees or what we get for £50

·         Club Kit- circulated by email earlier. All agreed on design with some minor changes suggested. Action ME explain changes to company and try to get a sample before Handicap so we can see the green.

·         Stickers- went out in newsletter. Spares available from ME

·         Club History- Action DC, no progress yet.

·         2014 tab on our website and update photo Action CR, but others to supply the detail

·         Myerscough Action MR  no news yet and unlikely for this sprint season

·         TWT Action DH applied to N Pk and commoners, some woodland being sold but OK?

·         Liz C maps  Action DH yes OK, just slow getting response from landowners

·         Laptop – need new one, keep old for planners that do not have PP or OCAD Action ME write to S Round at NWOA for grant

2014nothing not already covered.

Events: MR, RB and ME had met as sub-committee to produce new strategy, as emailed out.

·         Agreed 2 sides A4 handbook for small events so less daunting Action MR  and liaise with JA, RB and then to be sent out to each planner, organiser etc pre event

·         Agreed series coordinator for each of autumn, spring, summer- for publicity, get Si person, league scores etc. MR volunteered for spring

·         Pass on previous risk assessments as starting point, QH said caution that not just copied. Action CR investigate dropbox as way to do this.

·         Si with link to PP course within club QH offered to lead the course. Action advertise and invite via Web, Newsletter, MR email letter and at handicap

·         Branding of our one big event each year – like Twin Peaks, Nov Classic etc Perhaps Red Rose Classic and try to make it a weekend by linking with another club

·         Middle distance- once a year?  Again pair with another club for a weekend. Opinions varied- GS said at Brimham many ran Black to get a ‘decent’ length run, QH said less likely if followed by a classic event on the Sunday. Try it and see.

·         Not all like score yet many of our small events are now Y, O and score rather than long and short technical as before.  Spring will stay as O and score but in autumn try for a wider range of colour courses to increase the entry.

·         JK 2015 MR been at meetings- Uni looks Ok but lots of questions yet re other areas Confirmed clubs volunteers will concentrate on their clubs day, except for Si.

Mapping:

AF- possible sprint area of Lytham Park Hall Wood, if include the newly grubbed out woodland and some surrounding streets.

Secretary:

·         New membership list in late Jan Action KN

·         BO asking for POC info for participation figures.

·         Brownies O email- Action MR and Bob to deal with, opportunity already exists, we will not put on more.

·         Radios- TM asking as only 2 work? Action KN email TM and ask for details. We may be able to borrow from NWJS, Paul W or FRA

Treasurer:

·         Will make a loss again as no big income and L5D will come in next financial year

·         BO got a shock as reduced membership fees did not lead to more members and falling numbers at events mean the levy was down. So now they want to increase the levy. They also want more from the JK - NW not yet signed the contract as want 50% and best offer is 33%. Scotland nearly did not sign last time. Worst case scenario there could be a not the JK.

·         Corporation Tax- the short answer is we need not worry, it is based on profits of sales/ trading like map packs not events for members etc. We would have to sell 100s of map packs at our profit margin and even then we can claim against deterioration of assets and losses back 6 years

Coaching- no news

Club Captain- CSC entry is in, Feb 16 Irwell Valley. We are now officially a small club and so compete in the Trophy.

Juniors- no report.

AOB

·         Dan Riley (taken over from Ed N re Run Challenge etc) and MR met. They are aware of publicity issues, only 3-5 attended events across England. Now aiming at captive markets like NHS and colleges, jogging groups etc. Will not be using SR Borough Council as they did not run as planned on some specifics.  KN pointed out that the problems were much more than that- no link to local club, inadequate maps, no real venue and more.

·         Explore challenge went better. SR  B Council want to put it on for primary schools and charge, BO not happy and want in general KS1 ie 5-7 year olds.  Several of us could not see how this would have any progression and links into orienteering.

·         Trophies- DC and Jane have this in hand and know to download data from BO before late Dec.

·         Handicap- GS quiz, Committee raffle prizes, MR raffle tickets, ME tea, coffee and milk.
