SROC Committee Meeting  18 April 2013

 

Present: Martyn Roome, Dave Hargreaves, Karen Nash, Quentin Harding, Rowena Browne, Gavin Smith, Chris Roberts, Julian Lailey, Alex Finch, Tony Marlow. Also Peter Knott and Karen Quickfall.

Minutes  from last meeting accepted as true record.

Matters Arising- will come up under normal headings

1.       2014

·         PK/KQ outlined progress to date on Birthday celebration meal/event. Agreed best to have room from mid/late afternoon. Buffet so it is flexible and people can socialise more, hot buffet at £15 per head. Videos, displays, talks etc. Mike Murray main speaker. Agreed venue as Garstang Golf Club.  Suggest 70 will attend?  ACTION PK try for week before 6 Dec from say 4pm, SROC pay for tea/coffee/cake. Also to try to find out who may want to speak so this can be managed.

·         Also discussed impact on ‘normal’ club meal. Perhaps in 2015? And whether we should put on a low key event. KN suggested use the last Garstang street O map.

·         N Champs- Blakeholme.  Map drawn, need D Rosen to confirm start and then organise assembly area. TM has tried for sponsorship from Rick, Inov8 and BO. Discussed commentary – may be too troublesome. Need to keep costs down as numbers were low this year perhaps because of this. Parking at Simpson Ground.

·         Club Name – need to decide ready for AGM and need advance warning as change to constitution. Vote to be on SROC or AN Other. ACTION list of options in newsletter, or more suggestions from members. Committee to try to compile list by email in prep for this.

·         Swedish O Ringen ACTION MR has asked a club re hut accommodation, will chase this.

·         Booklet/ next step in History of Club- ACTION DC needs to work on this.

·         Whitewell (2013) – now 13th July. Combined picnic and P Booth challenge. ACTION PK confirm it was not a mass start. Mr Alp ready to provide cover, refreshment, parking, access £200 all in. Also tractor trailer ride for £50. So need to charge £6/2 per person. May use original start and then stepping stones. ACTION JL continue organise. ACTION ALL – email ideas prizes, likely coaster as on 21st and 25th. ACTION  DC, MR, CR liaise re entries on Fabian4 but SROC first.

·         SN challenge in Midlands – no progress yet. ACTION JL check they can make the Bentley event

·         Trees- maybe Beacon Fell ACTION MR has emailed will chase.

·         GCW- JL and KN ready to go public. TM pointed out need to coordinate this with new map. ACTION TM, JL, KN do by email.

 

2.       Events

·         Clash July2nd sprint and Lancashire School Olympics – mainly an issue for Si

·         See RBs spreadsheet – Sppok O Silver Helm, Low Park not Lords Lot, night O Low Park not Sizergh

·         Farleton- on hold as natural England assessing previous event, DH feels they do not want us

 

3.       Mapping

·         Hutton Roof done and Blakeholem

·         Remap Hampsfell for L5D – they assumed we would want Bilbo again. Agreed to it and extra northern bit. ACTION AF get it done- update, not remap.  Nb. ACTION DC/AF/TM check what we should pay for Blakeholme.

·         Simpson Ground – will L5D use N end? If so need remap. ACTION AF check with their planner

 

4.       Secretary   Nothing to report. (except remind CR re stamps for newsletter)

 

5.       Treasurer

 

·         Cash stable at around £9-10,000.  Income from TWT £1,200, Street O £900, Dalton £200

·         Paid Bilbo £800 Blakeholme, Malcolm £956 for Hutton Roof,BO levy £400, subsidy to relays

 

6.       Coaching (MR, JL,AF)

Charlotte paid via BO but lacked some initiative etc. Would like to get a week of activity in school hols. (Did 2 days in Easter) but need more coaches and ideas for games etc, especially if indoor. QH expressed concern that school O rarely leads to members, KN suggested use Year in a Box and modify as need be.

 

7.       Club Captain JK and BOC relays organised , Thanks QH

 

8.       Juniors HO sent report of several successes- Zoe Harding 3rd W18E, Helen Ockenden 3rd W16, Zoe selected for world schools. Laurence Johnson 10th at World Schools  sprint and won the Long distance.

 

9.       AOB

 

·         Josh Jenner App – leave it for now as his website is not up and running

·         Si trial of proximity/touch free Many questions. Most keen to try it just concerned about which event is best. Agreed Halton but since this has reverted to Clitheroe
