SROC COMMITTEE MEETING 21.10.2013
Present: Mark Edwards, Quentin Harding, Gavin Smith, Alex Finch, Rowena Browne, Jane Anthony, Tony Marlow, Dave Hargreaves, Karen Nash, Martyn Roome, Chris Roberts, Dick Collins.
1. Apologies: Helen Ockenden
2. Minutes of last meeting- accepted
3. Matters Arising- will all come up anyway.
4. Roles on the committee: QH offered to be Club Captain and sort out relay teams and CSC. MR will continue to group email and electronic news-sheet and autumn leaflets and is Membership Dev and Publicity Officer. ME volunteered to promote facebook and look at the fan page/ twitter (see focus). There was a long discussion re Volunteer Support Manager and various jobs linked to it. Jane Collins keeps log of helpers/volunteers and sends this out to organisers. Action- ask that organisers try to ask different people, not just those already on spreadsheet. JA volunteered to update handbook, overall mentor not really necessary- RB tries to make suggestions re who may advise/help when she asks people to plan or organise.
5. BO Conference (ME and TM) main focus was getting volunteers from in and out of the club. We need to widen our net. Suggested we need to ask people and either be specific or ask what job they would like at a particular event. Action ME email out form and JC send out Thank You postcards.
6. NWOA (ME)lots of change in personel, likely that DC will also join soon. L5D planning has started, clubs will get compensation for areas used, also can put bid in for £500 od NW money.
7. 2014 (JL had emailed a list)
· N Champs 4 May. Action RB/ME publicity re fixtures list, Nov newsletter
· SROC v SN March 9th. Action ME follow this up including how to promote it to club members, coach? Village hall? Food?, QH help with scoring structure
· GCW had publicity in FRA and Compass-sport mags. It will go in FRA fixtures. TM sending Peter Knott text to approve for map
· O Ringen- MR in hand
· Trees on Beacon Fell – MR in hand and Action will publicise date asap
· Name- resolved and DC has changed header on newsletter. Discussion on best way to promote SROC as the club for Lancashire when people google orienteering in their home town Action CR
· Club Kit- new supplier looks good and reasonable price. Some discussion over design and 50 year logo Action ME
· Car stickers- 50years SROC. Cheap , agreed go ahead Action ME
· Club History- Action now DC not JL , may need to co-opt some help.
· Celebration Diner KQ and PK
· Action DC/ME a sheet for the Nov newsletter listing and promoting all this
8. Events
· Spook O use up last years map. Action AF posters in village
· NYday- in hand
· Handicap- no officials yet. Action AF book Gasgill Hall.
· Spring series (orange and score) discussion re time of year, venues, who is it aimed at etc Agreed B Fell, Yarrow and W Park as all have toilets and café.
· Sprint O Action MR check whether Myerscough is a possibility, JA check re Uclan/ SMcLean map, RB ask JL/Bill Hyslop re making Stanley park a sprint map
· No level C event in autumn planned as JK and L5D taking our planners and organisers
· Blakeholme TM/Dick Towler joint LOC weekend, LOC do advertising and we pay a % and handle the entries for all 3 via fabian 4. Rough budget shows a possible £2700 surplus. Agreed commentary not necessary. Action TM to sort out sponsor prizes soon.Needs a Sec for the event who will have time close to entries closing Action CR set up Fabian 4, ME ask Dave Johnstone to handle it near entries close.
· TWT March 2015 need to ask commoners this autumn Action DH
· R Tiley has requested access Action RB ask him to go via DH so we control access and permissions
· Liz Campbell- asked use of areas for British Team. Would need remap to that standard. Action- ME/DH agree in principle but any new maps remain our ownership
9. Mapping – OCAD 11 out but most new features of limited use if only updating maps. Could be a use of £500 grant from NWOA? Issue re 1 licence so put it on club laptop? Action KN ask P Wilmore if he could ‘degunk’ the laptops and so speed them up. Since the meeting email consensus is greater need for new tunnel tent.
10. Secretary- already emailed out First Aid course via MDOC
11. Treasurer- grant application for AF coaching course, little change since AGM, worried at lack of income/event fees eg Farleton we charged £6 and likely to make only £80. Agreed £5 for D events and even £6 in spring is OK. KN asked DC to check re payment for B Fell map packs and Bobs work with Chorley.
12. Coaching- QH intends to do more SROC coaching this year, and a bit less for NWJS.
13. Juniors- HO and Zoe Harding selected for GB Talent Dev Squads.
